Create Print Definition Records

The final step is to create entries in the Print Definitions file.  This is the file that controls the actual distritibution.  If multiple Print Definitions exist for a batch, then the user must select one or more print definitions before distributing.  The main reason that you might want to create multiple print definitions is to filter the batch in different ways.  For example, if some physicians want their reports printed on white paper and other physicians want their's on labels, you would create 2 print definitions that would utilize the Filter field to filter the different population of doctors.

 

If printing at the host site, start the Batch Controller, click on File, then Print Definition Maintenance.

 

If printing at a remote site, start the File Manager, click on the Sites tab, select the site, then click on the Batch Ctrl button.

1.ID - select an ID from the drop-down box.
2.Description - enter an appropriate description.
3.Prompt - Optional.  If you want the program to pop-up a message before starting the distribution, for example, to remind the user to insert special forms, then enter the message in the Prompt field.
4.Change forms field - Optional.  Use this to prompt the user to change forms whenever the value of the field selected changes.  Useful if printing letters and each physician has his/her own letterhead.
5.Filter - Optional.  Enter a valid filter expression to filter the batch at time of distribution.  For example, to only distribute reports for doctor 0134, enter the filter:  DOCTOR="0134".
6.Device code - Enter a valid device code to distribute to.  Press F1 to obtain a list to choose from.
7.Copy To Description - Optional.  Enter the name of where this report should be routed to.  Whatever you enter will be displayed (usually) at the bottom of the report in the page footer.  Common names are 'Chart', 'Copy', 'Physician', 'Billing', etc.
8.Copies - Optional.  Default is 1.
9.Print report notes - Any notes that have been saved for a report will be printed on a separate page after the report is printed.
10.Single print job - check this if you want the Batch Controller to print all reports as one print job as opposed to sending each report to the Windows print spooler.

 

If you need to print envelopes and/or carbon copies interleaved with the reports themselves, then click on the Other tab.

1.Enable envelope printing - check this if you want the envelopes to be printed right after the letter prints.
2.Device code - Enter the device to be used to print the envelopes.
3.Don't print an envelope if no address - check this if no envelope is to print if there is no address defined.  Eliminates blank envelopes from being printed.
4.Enable CC printing - if checked, will print CC copies and envelopes right after the letter prints. 
5.Device code - Enter the device code to print CC copies on.
