Tables and Fields used for CCs

The following ChartNet database tables are used in CC processing. Each table is listed, along with a description of what the table is used for and specific fields that pertain to CC's.

Address Code

The field is used to link the provider to the Address file for those providers that want auto-distribution of their copies.

This file is normally used to store all referring physicians (or other outside entities) that may need copies of reports. If any provider wants to have copies auto-distributed to them, they must be defined in this file.

Note- If a referring physician is not defined in the Address file, they can still get a copy printed by having the transcriptionist manually add their name (and address, if known) to the CC List.

Address Code

A unique code that identifies this referring physician.

Sort	Used for sorting the Address file for lookup screens

Fax Number

The area code and phone number of the fax machine

Email Address

The referring physician's email address, if reports are to be sent via email.

Postal Address

The street, city, state, and zip of the referring physician. This information is used for addressing envelopes as well as for the top of letter forms.

Auto-distribution

The code that indicates how the referring physician will automatically get copies. Valid choices are PRINT, FAX, or EMAIL.

Default CC Device

Specifies the default device to be used when printing CC's for this site. Can be overridden in the Forms file if a particular form (e.g. Letters) needs to print to a different device.

The Forms file contains the definition of each form type used by this Site. If envelopes need to be printed, you must create an Envelope form.

Override CC Device

Specifies the device to be used when printing CC's. Will override the Default CC Device specified in the Sites record.

Do not automatically insert CC's at the end of the report

Enable this checkbox if you do not want ChartNet to automatically add the CC List to the end of the report. You may want to do this if you want the CC's printed in another format, other than just the CC names.

You must create batch queue devices and printer devices to handle the CC printing requirements. The following would be a typical list of devices for a site in order to batch print CC's for plain paper forms, letterhead forms, and envelopes. The next topic title "Batch Printing CC's" will give more detail in setting these up.

You must create a Batch Controller entry for each batch queue required for CC printing. Normally just two queues would be needed, one for plain paper forms, and one for letters. The next topic title "Batch Printing CC's" will give more detail in setting these up.
